Purpose

Our company is searching for an experienced, reliable, self-driven, task-oriented Administrative Assistant. The Administrative Assistant will work directly with the owners, FLC supervisors and employees. Be responsible for performing many administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment, while being flexible to achieve deadlines. This position is going to be filled with training. All experience levels are welcome to apply. Must be able to read, speak, & write in both English and Spanish.

Responsibilities

Be the front line of communications, including taking calls, responding to emails
Prepare internal and external corporate documents for team members and industry partners.
Maintain an organized filing system of paper and electronic documents.
Maintain and execute internal databases, including Ag Code software.
Uphold a strict level of confidentiality
Analyze & evaluate potential problems before they arise, determine approach, and prepare recommendations
Work in collaboration of the general housekeeping of the office including:
Answering calls & assisting with employee inquiries via telephone, email, and onsite visits
Maintain executive administrative duties such as assisting with certifications and permits.
Assist owners & manager with the administrative portion of their projects/tasks, such as:
Communication between vendors and management
Following through with clients & vendors, insuring they complete their duties
Overseeing that the project is completed and within timelines

Skills/Qualifications

Proficient in both speaking and writing in English and Spanish
Advanced Microsoft Office skills, with ability to become familiar with firm-specific programs & software
Highly proficient in Google applications and smart phone technology
Drive and ability to complete tasks efficiently, with aptitude to recognize & communicate improvements to be made on the same task/project in the future.
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities, Exceptional interpersonal skills, Friendly and professional demeanor are a must!
Ability to work in a face paced office environment, as well as assist with projects outside of the office
Must have a valid United States Drivers License
